An EDMS solution is only as good as how fast users can find information irrespective of whether documents stored are scanned in, imported from other systems or captured electronically.
CCube Solutions’ EDMS has powerful metadata-based indexing capabilities to make retrieval quick and easy for users to find documents. These include:
- Visual browsing of hierarchical structures;
- Searching by specific index fields describing the document;
- Retrieval via third-party applications (example?).
Our software includes a document browser that resembles Microsoft Internet Explorer allowing users to drill down and browse for documents subject to their security access – a ‘cascade’ view of documents in other words.
Retrieval is therefore dependent on how accurate, comprehensive and useable the metadata is and we excel here with functionality in our CCube Suite to capture it via
- Real-time integration with back end databases to capture the metadata automatically rather than users having to input it manually;
We offer comprehensive reporting features within CCube and our report generator also supports Boolean search facilities.
Where documents lack metadata, we can text extract information from documents and hold in a text searchable database. This allows users to then run queries on content to aid retrieval.
But it is by combing both metadata and content searching that we offer a truly compelling document retrieval system which makes our CCube software a great ‘find’ engine rather than just a simple ‘search’ engine.
